Sourcing & Purchasing Executive

Chinese Language & Communication Use Chinese to communicate and negotiate directly with Chinese suppliers.

Translate contracts, quotations, invoices, purchase documents, and related materials.

Work with Chinese partners via phone, WeChat, email, and e-commerce platforms.

Provide interpretation support during meetings with partners when needed.

Sourcing & Purchasing Search, evaluate, and develop suppliers on platforms such as 1688, Taobao, Alibaba, and other sourcing channels.

Compare pricing, quality, payment terms, and delivery timelines across suppliers.

Negotiate pricing, contract terms, and warranty policies with suppliers.

Monitor production progress, delivery status, and resolve any arising issues.

Build and maintain an up-to-date supplier database.

China Export Tax Refund Processing Collect, verify, and manage export tax refund documentation.

Reconcile VAT invoices, contracts, payment records, and customs documents.

Coordinate with suppliers, export agents, and relevant parties to complete the tax refund filing.

Control risks related to invoices and supporting documents for the refund process.

Supplier Payment Processing Understand and follow the end-to-end order payment process per supplier.

Execute payments via company bank accounts, Alipay, 1688, Taobao, and related platforms.

Verify the accuracy of payment amounts, order details, and payment documents.

Archive payment records and coordinate with relevant departments.

Education: Bachelor's degree in International Economics, Commerce, Commercial Chinese, Supply Chain Management, or related fields.

Language: Fluent in Chinese (listening, speaking, reading, typing).

HSK 4+ preferred.

Strong communication and negotiation skills with native Chinese speakers.

Experience: Solid understanding of import-export procedures and customs clearance for physical goods.

Strong knowledge of translation regulations and the creation of commercial contracts from Chinese to Vietnamese and vice versa.

Tools: Proficient in CRM/ERP systems Proficient in Chinese business communication software (WeChat, Aliwangwang) and B2B/wholesale e-commerce platforms (1688, Taobao, etc.).

Nice-to-have: Minimum 6 months - 1 year of experience as a Sourcing/Purchasing Specialist, Chinese Accounting, or Import Purchasing Specialist, specifically focusing on procuring goods from China to Vietnam.
